Rental listing checklist for landlords and property owners

Prepare your rental advertisement with an owner fact sheet and a worked cost example separating monthly rent, deposits, utilities and included items.

Define the rental offer clearly

State whether you are offering an entire home, one apartment, a room or commercial space. Select the closest property type and describe the part of the property a tenant would use. Shared kitchens, gardens, storage and parking need to be identified as shared rather than implied to be exclusive.

Describe furnishings and included appliances accurately. If the photos show furniture that will be removed, explain that before someone arranges a viewing. A rental listing should help a reader distinguish the offered space from the wider building or development without guessing.

Complete an owner fact sheet before opening the form

Use this worksheet to prepare your own notes. Replace brackets with supported facts, record unknowns explicitly and keep any private contact information in a private note. This is a planning table, not a saved form or an advertisement to copy unchanged.

A required monthly rent, currency and area need an actual value before publication. Do not invent a number to complete a field. Optional bedroom and furnishing declarations can remain unspecified when unknown or not applicable.

Separate monthly rent from other costs

The website rental form asks for monthly rent with a currency. Enter the base monthly rent in the structured price field and explain included items, deposits, utilities and any separately quoted charges in the description. Identify each amount’s period and whether it is included, additional, estimated or unknown.

Do not enter a deposit, a weekly amount or a combined move-in total as monthly rent. If your arrangement uses another payment period, explain that period and the basis of the monthly figure. Avoid counting a cost twice when it is already included in the rent. Check locally applicable rules before setting terms, deposits or charges; the listing form does not determine which payments are allowed or supply a tenancy contract.

Work through known monthly and initial costs

This fictional arithmetic example uses generic currency units, not a real listing or local market prices. It assumes base rent and a separately quoted recurring cost are due for the first month, plus a separately quoted deposit. The amounts illustrate how to explain an offer; they do not establish permitted charges, deposit rules or refund rights in any country.

Known monthly payments are 1,000 + 50 = 1,050 currency units, before usage-dependent electricity. Known initial payments under these assumptions are 1,000 + 50 + 1,500 = 2,550 currency units. These are incomplete totals because electricity and any other unconfirmed costs are excluded; unknown does not mean zero.

For this example, enter 1,000 as Monthly rent, select the actual currency and explain the separate amounts and periods in the description. The 1,500 deposit is separate from monthly rent and from a recurring-cost comparison. Check actual terms and local requirements independently before any agreement or payment.

  • Name the period for each recurring payment.
  • Separate included costs, additional costs and unknown costs.
  • Explain payment timing without treating a deposit as monthly rent.
  • Replace all fictional amounts with your actual terms; do not imply the known total covers every cost.

Explain size, access and availability

Enter the area and unit, then specify what the area covers. A room’s usable interior area and a whole apartment’s area describe different offers. Mention the floor, entrance arrangement and relevant access details where known. The map pin should identify the actual property rather than a nearby landmark chosen for convenience.

Give a clear description of current availability and possible viewing arrangements. If an occupied property cannot be shown immediately, explain that situation without disclosing the occupant’s personal information. Avoid artificial deadlines or claims that a property is available today when you cannot actually offer it.

Provide evidence without exposing private information

Use current photographs of the offered space and describe any difference between the photos and the condition at the proposed start date. Only publish images you have permission to use. Keep the occupant’s documents, identifying household details and sensitive possessions out of view.

Put a valid phone number or email in the private contact fields. Readers use the platform contact workflow rather than relying on contact details pasted into public text. A contact reveal helps connect people, but does not certify a landlord, property, tenancy or payment request.

Review the public page and manage changes

Read the page after publication and check that it answers the practical questions a tenant would ask. Keep its purpose set to Rent while it is offered for rent. Edit the existing property through My Properties if the rent, furniture, description or purpose changes, instead of publishing conflicting copies.

Once the offer is no longer available, update its visibility or purpose. Respond to relevant inquiries with current information and appropriate viewing arrangements. Verify identities and any agreement through suitable local processes; do not use the listing platform as a substitute for those checks.

Should a rental deposit be included in the monthly rent field?

No. Enter the base monthly rent in that field. Describe a separately quoted deposit, its timing and its actual terms separately, and check the rules that apply locally. The form does not determine whether a charge is permitted.

How do I explain rental costs when utilities are unknown?

List known recurring amounts and identify which utilities are included, separately charged or usage-dependent. Keep unknown costs out of a claimed complete total. In the fictional example, known monthly payments are 1,050 currency units before unknown electricity.

Do I need to guess a bedroom count or furnishing level?

No. Enter those declarations only when known and applicable. Leave an unknown bedroom count blank; 0 means a studio. Use Not specified for unknown furnishing, and describe the items actually included.

Can I change a sale listing into a rental listing?

Yes. Edit the property you own in My Properties and change its purpose to Rent. Review the monthly rent, currency, area, description and contact details before saving.
